  • Identify custodian within Waterloo Region – include link to IRCC custodian form. The custodian is a Canadian citizen or Permanent Resident over the age of 25 that acts in place of a parent in times of emergency and when immediate medical or other intervention is required

STEP 2 An invoice will be generated for the tuition. You are required to make full payment within __30___ days of receiving your invoice.

Pricing and Refund Policies

Terms:

  1. Once a student is accepted into the international education program, an initial invoice will be issued outlining tuition and associated fees (application fee, medical insurance, HST on application fee) to be paid. Payment must be made in full to the WCDSB as per instructions online. The invoice, issued by WCDSB Corporate Services, includes payment method details. Failure to provide payment will result in the student offer being withdrawn. Any fees charged by the Bankingl Institution are the responsibility of the student and are considered over and above the amount of the initial invoice.
  2. Invoices for home-stay and custodianship will be issued by the WCDSB when the WCDSB has received written confirmation that the student visa has been issued. New students to WCDSB will be required to make payments in full before first day of class. Returning students already attending a school will not receive report cards or transcripts until payment is received in full. (Returning students will be issued one invoice annually that includes tuition, application fee +HST, medical insurance, and custodianship and home-stay if applicable. Alternate custodial arrangements may only be made when students are re-confirming their study arrangements for the upcoming academic year and tuition fees have been paid.
  3. Returning students already attending a school will not receive report cards or transcripts until payment is received in full. (Returning students will be issued one invoice annually that includes tuition, application fee +HST, medical insurance, and custodianship and home-stay if applicable.
  4.  Changes to Custodianship and Homestays must be made before the end of the semester.  Only students who are continuing with the WCDSB International Education Program, will be the eligible for refunds. Refunds will not be given to students who leave WCDSB to study at other institutions once payment has been made.
  5. On occasion, special arrangements are made to accommodate financial constraints of returning students. Students are allowed to attend and make payment per semester. However, these returning students will not receive report cards or transcripts until payment is received in full.

Important Information

  1. SCHOOL FEES are to be made payable to the Waterloo Catholic District School Board through their approved Vendor FLYWIRE.  The fees can also be paid by certified cheque, bank draft, and money order (in Canadian currency) or through wire transfer (upon request).
    1. On the rare occasion when the WCDSB accepts fees by cash payment, the RDO staff will issue a temporary receipt at the point of the transaction which will be followed up with a formal receipt through WCDSB Corporate Services. (This accommodation is sometimes required in recognition of practices in developing countries or the parent’s income tax requirements).
  2. First-time registrants, for both elementary and secondary level, are required to pay fees for the full year unless they have previously indicated that they will only be studying for one semester/half year.
  3. Secondary renewal students who are not graduating in the current academic year are required to pay fees for the full year. Course selection will not be guaranteed until the student has paid all of their fees.
  4. Secondary renewal students who are graduating in the first semester may only pay fees for the first semester.
  5. Uniforms and any other related student activity registration costs are additional expenses to be paid by the student at the school to be attended.
  6. In the event that a student does not come to Canada or decides to leave the Waterloo Catholic District School Board for personal reasons, the following refund policy will apply. All requests must be made in writing with the original letter of acceptance.

Who is Not Eligible for Refund?

NO refunds will be granted in the following circumstances:

  • If the Study Permit is denied by Immigration, Refugees and Citizenship Canada (IRCC) due to missing documents or incomplete paperwork
  • If the student chooses to withdraw for any reason after a Study Permit has been granted using the official Letter of Acceptance
  • After commencement of studies
  • If the student does not follow the International Student Participation Agreement and is asked to leave the school
  • In the event of a labour disruption, inclement weather or other issues beyond the control of the Board
  • If the student or parent changes immigration status during the academic year (e.g. September – end of August), no refund will be granted. Similarly, students who become Permanent Residents during the academic year after tuition is paid, will not be eligible for a refund.

Who is Eligible for Refund?

A refund will be provided if the student is unable to obtain a Study Permit from Immigration, Refugees and Citizenship Canada (IRCC). Please allow 3-5 weeks for processing approved refunds.

To obtain a refund, the parent/custodian must provide the following within 60 days from the issue date of the letter of refusal from IRCC:

  • A copy of the letter of rejection from the Canadian Embassy
  • A copy of the WCDSB tuition receipt
  • A letter that is written and signed by a parent asking for a refund.

Full Service Model

  • Full Service Model includes care of the student from the moment they arrive in Canada until it is time for them to return home to their parents.

Home Stay

For those students who will not be staying with family or friends, we recommend the full service model provided by the school board.  The home stay service is offered by two local third-party companies that manage all aspects of the program and provide regular communication to the school board. All families must complete an application, pass a thorough interview and home inspection, and provide the home stay company with a police record check for all adults over 18 living in the home.

Students complete a short survey providing details of their current family, medical history, hobbies and interests. The survey provides the coordinator with information to select a host family who will engage with the student and provide both academic and personal support throughout the school year. Should a student or home stay request a new location – the coordinator will work with the student and the representative from the school board.

All funds for the home stay are held by the school board and paid to the host family at the beginning of each month. These fees are managed by the school board and are secure should the family or student request a relocation.

Home Stay services include:

  • Private bedroom and study area
  • Shared bathroom
  • Three nutritious meals per day & snacks
  • Supervised internet access
  • Regular check-ins from home stay coordinator
  • Welcoming, supportive, family environment

Parents who travel with their children to Canada must arrange their own accommodation. Home stays are not required to host parents during their stay.

 Health Insurance

Canadian law requires international students to have medical insurance coverage. WCDSB works in partnership with  StudyInsured™ to provide students with a comprehensive coverage plan. Your insurance policy gives you worldwide coverage, but you must spend at least 51% of the time your policy is in effect in Canada. The only place you are not covered is your home country, with possible travel restrictions to high-risk countries. https://www.studyinsured.com/wcdsb.

Airport Transfer

WCDSB works with Airways Transit, a local transportation company, to offer international students a safe and secure trip from the airport to their home stay.  To arrange transportation, we will need a copy of your flight itinerary.

WCDSB will provide you with detailed instructions before your trip; however, you must be aware of drivers that solicit passengers inside the terminals. These are unlicensed vehicles and drivers that are not regulated.

Custodianship

All international students attending the Waterloo Catholic DSB must have a custodian living in the Waterloo Region. The custodian who has full responsibility for the international student must be over 25 years of age, a Canadian citizen or a Permanent Resident of Canada. Students must live with the custodian unless they are using the home stay services of WCDSB. All elementary school students must live with a parent or blood relative.

A copy of the notarized Parent & Custodial document must be provided to the school board. This form states that arrangements have been made for a custodian to act on the parent’s behalf. Only the Citizenship and Immigration Custodian Declaration form is acceptable.

Please note: If the custodian does not meet his/her obligations, the Waterloo Catholic District School Board has the right to demit the student.
